District Directors
District Directors serve as vital planners and organizers for chapters in each district. They help chapters work together to plan conferences; they help facilitate district-wide Music Artistry Program events; and they assist in the selection process of district representatives to the State Conference Honors Recital each June. In addition, District Directors identify chapters’ most pressing challenges and help find solutions, including areas that would benefit from state grants. District Directors identify people with leadership skills who might be interested in serving as committee chairs for the Board of Directors or the Education Board, and encourage chapters to pursue non-traditional creative projects.

District and Chapter Responsibilities
Each district has its own individual needs and it is a good idea to connect with past Directors to get their input about them. Make sure to pay it forward by communicating those needs to incoming directors when your term expires!
All directors are expected to:
- Visit each chapter within the District on alternate years of the WSMTA President to communicate information on WSMTA and MTNA programs
- Arrange for District Vocal and Instrumental Honors Recitalists selection when applicable
- Plan a District Conference on alternate years including time, place and program
- Promote work of WSMTA in the District including student grants like the Whitner Study Grant, MAP and MLP Fee Grants, and teacher grants like the Caroline Allen Certification Grant or the State Membership Dues Grant
- Identify chapter needs and work with chapter officers and other state leadership to provide support and solutions to meet those needs
- Reach out to collegiate chapters as applicable to support their unique situations
- Accept special assignments and report on District activities at Board of Directors meetings, including a financial summary of the District
Board of Directors Meetings
Each District Director attends three board meetings per year; meets with other District Directors during the annual WSMTA Conference; meets with their Chapter Presidents during the annual Conference; and is a vital link between chapter and state leadership.

Director Discretionary Grants
As musicians, WSMTA teachers are well-equipped to flexibly adapt to our changing world. To support our teachers, WSMTA makes $300 per district per year available for use in creative ways. Some chapters choose to bring in a clinician for a special presentation to keep teachers apprised of new methods or research. Some chapters use the money for equipment to benefit their programs – a microphone for recording or virtual events, for example. Other districts use the money for space for a recital.
Directors should actively look for ways WSMTA funds can benefit their districts. The $300 can be used by one chapter, split between chapters, or used to augment a district-wide event.
To use available funds, a chapter should submit a request to you that includes the following information:
- Description
- Amount
- Date the funds are needed
- How the project, presentation, or equipment will benefit their chapter
There is no need for the chapter to fill out a special form. Please use your best judgment when evaluating a request!
Once you have received a request, or would like to make a request yourself, fill out the District Director Grant Form.
After the project, presentation, or equipment has been completed or purchased, please follow up with the chapter to find out how it went, and provide a summary of the process and benefits in your report at the next full board meeting (either January or June).

District Conference
One core responsibility for District Directors is to plan a conference on alternate years including time, place and program. WSMTA Leadership put together a conference planning guide and a presenter contract template, available below. You’ll want to start planning your conference at least 6-8 months in advance, so be sure to review the planning guide!

If you or one of your chapters are planning a live event, you’ll need insurance. MTNA provides liability coverage for all its affiliates. To request insurance for an event, you can fill out this form on the MTNA website, or ask the administrative coordinator to fill it out for you. Either way, you’ll need the following:
